Program Support Assistant

Receives telephone calls, greets visitors, and based upon knowledge of the organizations and their programs and operations, refers telephone calls and visitors to appropriate staff. Locates and selects appropriate references and procedures for application to specific questions. Assists with administrative tasks involving the interview process for potential employees and onboarding of new employees. Establishes and maintains records and files according to written guidelines by maintaining files and updating policy and procedure manuals Records minutes of program meetings as required and committee meetings. Types documents from recorded meetings in the approved format. Types a variety of correspondence in final form, ensuring correct punctuation, capitalization, spelling, grammar and conformance to style. Produces graphs, charts, tables, presentations, and composes correspondence that may include statistical data and analyses. Utilizes a variety of computer software and VHA databases to help track and trend data. Prepares, receives and processes recurring and program specific documents and reports in accordance with established procedures. Serves as the department ADPAC Processes new staff through the use of the ADPAC menus and keys to include setting up VistA profiles. Identifying person class codes, setting phone extensions, requesting share drive and email access, and assigning VistA keys and menus according to staff discipline. Maintains the inventory of required office supplies and is responsible for ordering supplies not routinely stocked by Logistics, including general office supplies and toner cartridges for printers and fax machines. Reviews and processes, incoming and outgoing correspondence, materials, publications, regulations, and directives in support of the Radiation Oncology Department. Responsible for maintaining and monitoring program calendars, schedules, and the Chief's calendar. Responsible for primary timekeeping duties to the department, to include posting daily time, submitting premium pay request, entering leave by proxy when appropriate, validating timesheets prior to the deadline established by Payroll, and running requested reports from the VATAS user interface. Serves as the primary Funds Control Point clerk. Serves as a backup on the scheduler team and is responsible for all assigned duties that entail the job of a scheduler for Radiation Oncology. Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. Experience:
You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Performing a wide range of administrative, technical support, utilizes a variety of computer software and VHA databases to help track and trend data, primary fund control point clerk, primary timekeeping duties, department ADPAC, database management, word processing, administrative forms; maintains the department budget spreadsheet.; Maintaining calendars, scheduling appointments and meeting makers, conference rooms, etc. Experience with VA scheduling programs (i.e. CPRS, VISTA). The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
