Administrative Assistant

Performance Expectation:
Administrative Support - Acts as confidential administrative assistant to assigned IT leaders and other departmental areas as needed.
- Handles incoming/outgoing customer calls, passing on pertinent information and knowing when to escalate requests or needs.
- Assists in the preparation of communication materials; ensures documents are complete, current, and stored appropriately.
- Handles financial record keeping and tracking.
- Suggests areas of improvement in internal processes along with possible solutions.
- Provides support to management team and support staff, as needed.
- Maintains filing system, makes travel arrangements and maintains personnel records.
- Operates a variety of office equipment - PC, printer, fax, scanner, copier, calculator, etc.
- Reviews payments to be approved and completes requisitions as requested.
Performance Expectation:
Fiscal Support - Maintains budget information (including tracking expenses against correct GL code in department budget spreadsheet and keeping ledger) and processes requisitions (POs) and invoices in a consistent, accurate, and timely manner.
Matches (PO#, price, quantity, item description, vendor name/address) incoming invoices on the ERP system to corresponding purchase orders.
Performance Expectation:
General Office Support - Analyzes paperwork and system information to ensure accuracy and/or identifies discrepancies in information; researches discrepancies in matching criteria.
- Coordinates with purchasing, departments and or vendors to obtain missing information or correct inaccurate information.
- Resolves problems in a timely manner by prompt initial contact and diligent follow-up; reports recurring problems to supervisor, manager or director.
- Updates phone lists.
- Schedules conference rooms and schedules meetings and conference calls.
- Addresses new employee setup and onboarding needs.
- Tracks department and team member office space needs - Reviews phone bills.
- Maintains appearance of conference rooms and common areas to receive guests to the department for meetings.
- Performs all communications in a professional, courteous and customer-service oriented manner.
- Performs receptionist duties.
- Submits work requests.
- Prepares spreadsheet presentations and documents.
- Supports management staff when needed.
Performance Expectation:
Miscellaneous Responsibilities - Performs other duties as assigned and/or participates in special projects in order to support the mission of our client.
- Provides assistance to team members.
- Accepts alternate assignments, as required, graciously.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
