We are seeking a highly organized and motivated individual to join our team as a Contract Administrator/Personal Assistant.
This role involves reviewing project contract proposals and providing comprehensive administrative support to the executive.
The ideal candidate is compassionate, goal-oriented, a problem-solving team member with a positive attitude, and loves helping people.
Strong organizational skills, the ability to multitask and take appropriate action with little supervision, experience with legal documents, and flexibility are essential to this position.

Responsibilities:
Manage and maintain the executive's schedule, including appointments, meetings, and other arrangements.
Act as the primary point of contact between the executive and external parties, including clients, business associates, and staff.
Screen and prioritize incoming calls, emails, and other forms of communication.
Handle incoming calls, correspondence, and respond or redirect as necessary.
Provide comprehensive administrative support, including drafting correspondence, organizing documents, and managing databases or filing systems.
Organize and maintain confidential information and documentation.
Maintain records, databases, and contact lists.
Build and maintain effective relationships with clients, business associates, and staff on behalf of the executive.
Ensure smooth communication and collaboration with internal staff.
Project Assistance:
Support the executive in various projects, including research, coordination, and follow-up.
Track project progress, prioritize tasks, and ensure timely completion.
Legal Document Preparation:
Assist in drafting, formatting, proofreading, and filing legal documents & contracts.
Conduct legal research and compile relevant information.
Maintain electronic and physical filing systems for legal documents and correspondence.
Communication and Correspondence:
Draft and review correspondence, including letters, emails, and legal documents.
Liaise with clients and other parties to gather or provide necessary information.
Qualifications:
Proven experience as a contract administrator, personal assistant, or in a similar administrative role.
Strong organizational and time management skills.
Excellent written and verbal communication skills.
Proficiency in MS Office Suite and other relevant software applications.
Ability to handle confidential information with discretion.
Attention to detail and a high level of accuracy.
Ability to multitask and prioritize tasks effectively.
Strong problem-solving and decision-making abilities.
Knowledge of legal document preparation and procedures is preferred.
